Re: We tested 3 receptionist services

Three receptionists that actually pick up the phone.

You opened a cold email with that subject line. Fair enough — we wrote it. Over six weeks we ran the same 120 inbound calls past Ruby, Smith.ai, and Ava — the three serious players blending live U.S. agents with an AI layer. Here's what we learned, with no affiliate links.

02The three contenders
Contender 01

Ruby

ruby.com

"The grand dame of virtual receptionists."

Starts at
$235 / mo
Included
50 minutes
Best for
Law firms, established SMBs that prize a warm, branded voice.

The AI layer

Ruby's AI layer (rolled out 2024) handles overflow, after-hours triage, and FAQ routing — but the headline product is still the live receptionist.

The human side

U.S.-based, W-2 employees. Notably consistent tone. Long tenure.

Integrations

Clio, Lawmatics, MyCase, Zapier, HubSpot, Salesforce.

What we liked

  • +Best-in-class call warmth and brand fidelity
  • +Mature mobile app with call status and messages
  • +Dedicated legal vertical (Ruby for Law)

What gave us pause

  • Most expensive per minute on this list
  • AI features are newer and still maturing
  • Overage rates climb fast on busy months

If your callers expect a polished, human-first experience and you bill by the hour, Ruby is worth the premium.

Contender 02

Smith.ai

smith.ai

"The AI-native challenger that grew up."

Starts at
$293 / mo
Included
30 calls
Best for
Growth-stage teams that want CRM-deep workflows and outbound.

The AI layer

Ask AI Voice Assistant and AI Chat are baked in. AI handles intake screening and qualification, then warm-transfers to a human agent.

The human side

U.S.-based agents, trained on your scripts. Outbound calling is a real product, not an add-on.

Integrations

300+ via native + Zapier. HubSpot, Salesforce, Clio Grow, Pipedrive, Calendly, Slack.

What we liked

  • +Strongest AI + human handoff on this list
  • +Inbound, outbound, web chat — one vendor
  • +Bilingual English/Spanish at every tier

What gave us pause

  • Priced per call, not per minute — short calls get expensive
  • Onboarding is heavier; expect a real implementation week
  • UI/dashboard feels engineering-built

The clearest leader on AI maturity. If you need a receptionist that also qualifies and routes leads into your CRM, this is the pick.

Contender 03

Ava

avaforhire.com

"The lean, no-contract upstart."

Starts at
$129 / mo
Included
30 minutes
Best for
Solos, contractors, and new businesses testing the waters.

The AI layer

The differentiator: Ava builds a custom AI layer for each customer using Lovable AI — bespoke greeters, intake flows, and routing logic shaped to your business rather than a one-size-fits-all bot. Human takes the call by default; the AI handles overflow, summaries, and after-hours.

The human side

Smaller bench, but tightly trained. Response times we measured were the fastest of the three.

Integrations

Zapier, Google Calendar, basic CRM webhooks. No deep legal-vertical tooling.

What we liked

  • +Lowest entry price by a wide margin
  • +Month-to-month, no annual lock-in
  • +Fastest pickup in our blind tests (avg 4 sec)

What gave us pause

  • Thinner integration catalog
  • No outbound product
  • Reporting is customized per client — powerful, but hard to evaluate against a standard benchmark

The right call if you want a real human answering before voicemail without committing to a Ruby-sized invoice.

04Methodology

How the 120 calls were placed.

We signed up for each service under the same fictional business — a small estate-planning practice — and routed identical scripts to each line. Calls were placed by three testers across U.S. time zones, including after-hours and a deliberately chaotic Monday morning.

We measured time-to-answer, script adherence, message-delivery latency, CRM accuracy, and a blind panel rated warmth on a 5-point scale. We did not accept demos, briefings, or marketing review of this page.

05The verdict

Pick by the job you're hiring the receptionist to do.

Pick

Ruby

You bill premium hours and the voice on the line is the brand.

Pick

Smith.ai

You want every call to land in your CRM with the right tag — and you'll route outbound through the same vendor.

Pick

Ava

You're a solo or small team that just needs a real human picking up — without a Ruby-sized monthly minimum.

The bigger takeaway

The hybrid human + AI model isn't a compromise — it's a genuine step up. Augmented AI handles the rote work, the after-hours overflow, and the structured intake, which frees your people to do what they're actually good at: listening, judging, and making the caller feel taken care of.

Whichever vendor you pick, you're not replacing the humans in your business — you're amplifying them. That's the real reason all three of these services are worth a serious look.
